How to reprice and reschedule paint jobs for extreme heat
When heat index readings climb into the high 90s and above across Phoenix, Las Vegas, Los Angeles, Houston, and Dallas-Fort Worth in August and September, your crew's actual production rate drops below the number your bid was built on. Fix it in two steps. First, adjust your baseline SF/day production rate downward using a heat factor based on how many hours your crew can safely and effectively work coatings each day. Second, rebuild the schedule around those hours, not the calendar days, and communicate the change to the client before the job falls behind. The math and the client language are below.
Why heat index changes painting production rate, not just comfort
Heat index matters more than air temperature because it reflects what your crew and your coatings actually experience on the wall. Above roughly 90-95°F heat index, two things happen at once. Crew output drops because of fatigue, hydration breaks, and shortened safe work windows, especially on south and west elevations with direct sun exposure. And coating behavior changes: latex and acrylic products flash off faster, which shortens working time for lap lines, tipping off brush marks, and back-rolling spray work before the edge sets. Caulk skins over before it can be properly tooled. On new construction siding or stucco, this shows up as visible lap marks and uneven sheen once the sun hits the wall at a different angle later in the day. This is not a reason to stop working exteriors in the Southwest in late summer. It is a reason to stop pricing and scheduling as if May conditions still apply.
Build a heat-adjusted production rate for active bids
Start with your normal baseline production rate for the substrate and method you're using. A typical crew brushing and rolling stucco or lap siding runs a certain SF/day baseline; spray-and-backroll crews run a different one. Whatever your number is, apply a heat factor instead of assuming it holds through a heat advisory stretch.
- Set your baseline. Use your own historical production rate per substrate, not an industry average. Track it by job type: exterior stucco repaint, lap siding, trim and fascia linear feet per day, cabinet doors per day.
- Apply a heat factor. Many contractors see production run at roughly 70-90% of baseline once heat index holds in the mid-90s to low 100s for multiple consecutive days, and lower than that above 105-110°F heat index, especially on west-facing walls in the afternoon. Heat doesn't cause this, but the same discipline that protects your exterior margin, pricing every added surface as its own line item at your real per-door or per-linear-foot rate, protects your cabinet margin too.
Scheduling and access adjustments that actually work
Once you've adjusted the production rate, adjust the workday around it.
- Start early, chase shade. Move exterior start times up and sequence elevations by sun path, east side first thing, west side last if you can get away with it, or push west-facing walls to early morning the next day instead.
- Reconsider spray vs. brush/roll. Spray application can lay down material faster in a shortened work window, but overspray and flash-off both get worse in high heat and wind. On tight access jobs with a lot of trim and cut-in, brush and roll may still be the more reliable call even though it's slower, because rework from a failed spray finish costs more than the extra labor hours.
- Protect access equipment. Extension ladders, staging, and lift decking get hot enough to be a real hand and footing hazard by midday. Factor equipment cooldown and hydration breaks into your crew-hour math, not just paint chemistry.
- Recheck moisture before coating. Run a moisture check on exterior substrates, especially stucco and wood siding, before coating. Extreme heat can mask surface moisture from recent irrigation or a monsoon burst overnight; a substrate that looks dry can still be reading high enough to cause adhesion problems.
Prep, substrate, and coat count still drive the price, heat just moves the schedule
Don't let a heat conversation with a client turn into an excuse to skip the real pricing drivers. Prep severity, height and access, coat count, and product tier are still what set the number. Heat index changes how fast you can execute the plan, not what the plan needs to include.
- Prep severity. Chalking stucco, peeling old oil-based trim, or failing prior coatings need more surface prep time regardless of season. Follow standard substrate prep practices (cleaning, scraping, sanding, priming bare or previously failed areas) before you touch a heat factor at all.
- MPI product category. Match the product to the substrate and exposure using MPI product categories as your reference point, not just "exterior latex." A higher-grade acrylic with better flexibility and UV resistance may be worth the upcharge on a west-facing elevation that's going to take a beating every summer.
- Coat count. Two full coats over a properly primed substrate is still the standard for durability. Heat shortens your recoat window; it doesn't justify skipping a coat to save a day.
- Lead-safe practices on pre-1978 homes. If you're disturbing paint on a home built before 1978, EPA RRP lead-safe work practices apply regardless of the season. Extreme heat doesn't change containment or cleanup requirements, and rushing prep to beat the heat is not a reason to cut corners here.
Use a laser measure to confirm paintable SF and linear trim feet before you finalize the reprice. Guessing square footage on a heat-driven rebid is how contractors end up underbidding a job twice in the same season.
